Vancouver Scavenger Hunt
Last updated: September 19, 2026
The Vancouver Scavenger Hunt app is operated by Calvin Liang.
This policy explains what information we collect and how we use it.
For questions or privacy requests, contact help@vanscav.com.
Information We Collect
When you sign in using social login or email login, we may collect:
- your name
- your email address
- your profile photo (if provided by the login provider)
- a provider account ID used internally to identify your account
You may sign in using services such as:
- Apple
- GitHub
- Discord
or by using passwordless email login, where we send a secure login link to your email address.
We only receive information that these services choose to share with us. The exact information available may vary depending on the provider and the permissions granted during login.
When you use social login, your interaction with those services is also governed by their own privacy policies.
Email Activity
We record the recipient, subject, send time, and sending status of emails from the app. These emails include a small tracking image so we can record when it first and most recently loads. Organizers can view this activity alongside your current team to understand whether event messages are reaching participants. Image loads can be triggered automatically by email services and do not necessarily mean you read the email.
Game Data
To run scavenger hunts, we store information such as:
- scavenger hunt progress
- points and leaderboard rankings
- timestamps of submissions
- photos, videos, audio recordings, or text answers submitted by participants
- location information associated with submissions
Participant names, points, and leaderboard standings may be visible to other participants.
Individual submissions may be displayed as part of the event or shared publicly to market and promote Vancouver Scavenger Hunt and its events as described in our Terms of Use. This may include photos, videos, and other submitted materials in which your face, image, likeness, or voice is identifiable. You may decline or withdraw marketing permission by contacting help@vanscav.com, without affecting your participation.
Instagram Messages
If you message @vanscav, our automated reply service may process your message, its timestamp, your Instagram-scoped account ID, and whether you follow us to respond with a scavenger hunt clue or instructions. Meta and Cloudflare process this information to deliver the service. The automation checks whether your message contains "Ernie", regardless of capitalization. Instagram messages are not sent to OpenAI.
The automation does not save message text, account IDs, or follow status to our database. It stores hashed message identifiers, delivery status, and processing timestamps to prevent duplicate replies. Message receipts older than seven days are cleared when the automation next processes an event. A hashed account identifier and audio delivery status remain until you request deletion or we retire the automation, so the audio is only sent once per person. Messages remain in Instagram under Meta's retention controls.
To request deletion of Instagram messages held by us, email help@vanscav.com with your Instagram username and the request. We may ask you to confirm ownership through that Instagram account. You can also manage or unsend messages through Instagram.
Public Photography
Organizers may photograph or take videos of participants while participating in scavenger hunts in public locations.
Analytics
We use Cloudflare Analytics and PostHog to understand usage of the site, such as:
- number of visitors
- page views
- device and browser information
This information helps us improve the service.
PostHog uses cookies or browser storage to distinguish visits and can record sessions so we can understand navigation and troubleshoot problems. Recordings can include page content, images, clicks, text entered into forms, submitted answers, console messages, and network timing. We do not record admin or access-code pages, password inputs, or network request headers and bodies.
For signed-in players, we associate analytics and recordings with your player ID, username, and team ID and name (if available) so we can find and investigate reported problems.
Third-Party Services
We rely on several services to operate the scavenger hunt:
- Cloudflare Workers: hosting
- Cloudflare D1: database
- Cloudflare R2: private submission storage
- OpenAI: automated photo and audio challenge judging
- Cloudflare Email Service: sending login emails and other transactional messages
- OAuth providers: Google, Apple, GitHub, and Discord
- Cloudflare Analytics: usage analytics
- PostHog: product analytics and session replay
These providers may process limited technical information as part of operating the platform.
How We Use Information
We use collected information to:
- send authentication emails such as login links
- allow participants to sign in
- operate the scavenger hunt
- track progress and scores
- display leaderboards
- manage submissions
- use submitted materials for marketing and promotion with your permission
- maintain and improve the service
- communicate with participants
- promote future offerings of the scavenger hunt or similar events
We do not sell personal information.
Data Retention
Account and event data may be retained for at least one year, and then as long as reasonably necessary to operate scavenger hunts and maintain event records.
If you would like your data removed, contact help@vanscav.com.
Security
We take reasonable steps to protect stored data. However, no online service can guarantee complete security.
Changes to This Policy
We may update this policy if the service changes. Updated versions will be posted on this page.
